Terms of employment:

Responsibilities and Duties:

  • Oversee and co-ordinate office administrative procedures
  • Review, evaluate and implement new administrative procedures
  • Delegate work to office support staff
  • Schedule and confirm appointments
  • Communicate with clients
  • Coordinate and prepare work schedule
  • Assemble and organise data, store paperwork, invoices and computer-based information, prepare reports, manuals and correspondence
  • Assist with maintaining record keeping and filing systems
  • Answer and respond to incoming calls and e-mails
  • Classify, sort, and file all applicable correspondence, reports, and other documents
  • Complete a wide variety of spreadsheet tasks by assisting in the preparation of administrative reports, summaries, tables, statements
  • Perform basic bookkeeping tasks, including invoicing
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, parking, maintenance and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Carry out administrative activities of establishment

Qualifications and Skills:

  • Ability to speak English
  • Secondary (high) school graduation certificate
  • 1 year to less than 2 years of experience in related field
  • Computer and technology knowledge: MS Excel, MS Office, MS Windows, MS Word
  • Work Conditions and Physical Capabilities: Work under pressure; Attention to detail; Tight deadlines
  • Personal Suitability: Efficient interpersonal skills; Excellent oral communication; Excellent written communication; Flexibility; Reliability; Organized
